Develop Repeatable Disposition Strategy for Offsite Records

The Situation
A financial services firm had performed limited review and disposition of offsite records. In order to demonstrate a successful "Records Management Program," they needed to develop an ongoing process for disposition.

The Challenge
The firm suffered from a lack of consistency labeling and categorizing offsite records, which made identifying records needed to support legal and regulatory matters very difficult.

The Objective
Business Intelligence Solutions (BIS) was engaged to develop a disposition decision tree to allow for a risk-based approach for disposition. The business unit records owners and their Legal, Compliance, Risk, and Records Management staff would use the decision tree to develop an approach for disposition that would work for each business area.

Resolution
BIS developed a decision tree, working with cross-functional experts to refine and use the decision tree to assess options and develop a risk-based approach for audit and disposition of offsite storage records. The result was a plan for large-scale disposition of records for the first time in the company's history. Initial pilot groups disposed of materials resulting in $120,000 annualized savings.
